Requirements
- Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
- Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
- Fluency (level C) in English language. Fluency in another official language (French) may be required depending on the location of the post or area of responsibility.

Key Accountabilities/Responsibilities
- Provide dedicated executive assistant support.
- Manage DCD Agenda and coordinate with other stakeholders’ on the preparation of key documents before meetings.
- Coordinate with Fleet and admin units for DCD office movement in town and trips both inside and outside the country.
- Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
- Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc. and conduct research in the area of work.
- Actively seek and use feedback to improve business processes and procedures.
- Respond to complex business support queries in order to provide a timely and accurate resolution of enquiries for clients.
- Oversee the maintenance of records and databases to ensure information is organized and readily available for staff and compliant with all relevant regulations and policies.
- Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
- Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
- Provide a full range of complex business support services to staff to contribute to the effective functioning of business operations.
- Perform other duties as required.
Standard Minimum Qualifications and Experience
Education
- Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience
- Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Knowledge & Skills
- Knowledge of specialized common business practices and methods, gained through relevant technical training and experience.
- Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.
- Ability to carry out basic data analysis and independently rectify problems requiring attention.
- Ability to monitor and record financial transactions.
- Good communication skills required to give and receive information and work with a variety of individuals.
- Ability to maintain confidentiality.
Language
- Fluency (level C) in English language. Fluency (level C) or intermediate knowledge (level B) of another official language (French) may be required depending on the location of the post or area of responsibility. General Service (Field): Fluency in both oral and written communication.
