Job Description
Job Summary: We are seeking a highly organised and proactive Full-Time Admin and Personal Assistant to support the Operations Manager in the day-to-day operations of our cleaning service business. This role involves a combination of administrative tasks, personal assistance, and client interaction, sales and marketing, ensuring the smooth and efficient management of schedules, communications, and project coordination.
Key Responsibilities:
Administrative Support:
- - Maintain and organise the Operations Manager’s calendar, scheduling appointments and meetings.
- - Manage email correspondence, prioritise messages, and draft responses as needed.
- - Prepare and edit documents, reports, and presentations.
- - Handle incoming and outgoing sales phone calls to potential clients, cleaners, supervisors, address inquiries, and redirect calls as necessary.
- - Maintain an organised filing system electronically.
Personal Assistance:
- - Assist with tasks for the Operations Manager.
- - Manage and track personal and professional expenses.
- - Handle confidential information with discretion and professionalism.
Client and Staff Interaction:
- - Serve as a point of contact for clients, addressing inquiries and scheduling services.
- - Assist in the coordination and communication with cleaning staff.
- - Ensure client satisfaction by following up on service requests and feedbacks.
- - Help manage employee schedules and timekeeping.
Project Coordination:
- - Assist in planning and coordinating special projects and events.
- - Monitor project timelines and ensure deadlines are met.
- - Collaborate with the Operations Manager to develop and implement new processes for efficiency.
